GW SON SAIL Center Equipment and Facility Use Policy

Policy Statement 

The intent of the SAIL Center Equipment and Facility Usage policy is to inform participants about the guidelines for the management and safe use of equipment and facilities of the George Washington University School of Nursing Simulation and Innovation Learning Center (GW SON SAIL Center).

Reason for Policy 

The purpose of this policy is to inform and reduce the risk of harm to participants and other academic institutions regarding the management and safe use of equipment and facilities in the SAIL Center.

Who is Governed by this Policy 

All persons participating or facilitating any simulation event in the GWU SON SAIL Center.

Policy 

  1. Equipment and supplies will be provided by the GW SON SAIL Center for simulation-based learning experiences with the exception of any specialized equipment and supplies. External parties may bring their own supplies, however, a complete list of proposed items and Safety Data Sheets, where applicable,  must be provided to the GW SON SAIL Center at the time of external party usage. The director of the GW SON SAIL center or their delegate reserves the right to refuse items. For simulation scenarios that require equipment or supplies that are not considered standard by the GW SON SAIL Center, the requesting party will be responsible for providing these items. Additional charges may be imposed for equipment and supplies procured for specialty simulation scenarios (i.e., neonatal supplies for a neonatal NP scenario).
  2. The equipment and supply lists will be confirmed with the GW SON SAIL Center staff during the scheduling process. 
  3. GW SON SAIL Center equipment will be inspected prior to the start and upon completion of all simulation-based events. The GW SON SAIL Center staff will work to ensure the equipment works prior to the event and expect that it is used and cared for in a respectful and responsible way.
  4. Troubleshooting – A simulation technician will be available during the duration of simulation-based events, and will assist in troubleshooting equipment. In the event that equipment is malfunctioning, GW SON SAIL Center staff will attempt to repair the equipment. If the equipment cannot be repaired, a replacement will be substituted when available.
  5. Set-up – all room set-ups will be done prior to the start of the simulation-based event by the simulation operations specialist. Any special requests for room setup should be communicated to the GW SON SAIL Center staff. It is the responsibility of the facilitator involved with the simulation event to review the room set-up prior to the event to acknowledge and assure all needs have been addressed. 
  6. All unresolved issues should be addressed with the GW SON SAIL Center Director.
  7. The use of GW SON SAIL Center equipment off-site. Students and faculty are permitted to borrow specific equipment, simulators, and supplies. The responsibility for equipment damage is assumed by the requestor and monetary compensation is required if damaged. Borrowing of equipment of greater than $500 in value must be approved by the GW SON SAIL Center Director. (Equipment Request Form or Google Form)
    • Equipment may be checked out for off-campus use and returned as scheduled.
    • A written request should be submitted three (3) working days (M-F, 8:00  a.m. to 4:00 p.m.) before the equipment is needed

    • The borrower will notify the lab if equipment is not to be used. d. Problems regarding equipment should be reported at the time it is returned to the lab personnel. If staff is absent, attach a note to equipment and describe problem. 

    • Equipment may be checked out by completing a request form properly marked, signed, and dated.  

    • Upon return, all equipment will be cleaned, sanitized, and inspected for damage by the GW SON SAIL Center team.

    • Task trainers and other equipment that are designated to the SAIL  practice lab are excluded from check out and are for the sole purpose of the practice lab. 

  8. High fidelity equipment/simulators require GW SON SAIL Center staff to be present for all uses. Off-site utilization will require prior approval and may not be accommodated. 

  9. All GW SON SAIL Center equipment and supplies are kept separate from clinically approved materials by physical structure separation. Additionally, all simulation center equipment is not intended for patient use, and is labeled,  when appropriate, with “Not For Human Use – Education Only”.

  10. .All supplies utilized in the GW SON SAIL Center are designated for educational purposes only and are not to be used on any person or animal. GWU SON is not  liable for injury occurring in the routine use of maintained equipment
